POSITION SUMMARY:

The Gibney Center Artist Coordinator (AC) works to advance Gibney Center’s presenting function and relationships as part of a producing coordinated team. Participating in the research, planning, and realization of every aspect of Gibney’s presented performances, the AC provides direct support to the Producing Consultant and Associate Producer & Residencies Manager through communication, tracking, and organizational tasks related to dance artists, their creative work and Gibney’s productions. In addition to facilitating the vision of the artists in close communication with the Producing Consultant, Associate Producer & Residencies Manager, Artistic Director and various curatorial collaborators, the AC is responsible for coordinating and executing the Center’s digital engagements, and coordinating all aspects of the Center’s low tech productions in collaboration with the Center’s production team.

Reporting to the Producing Consultant, the Artist Coordinator is a full-time, non-exempt position.

This position requires an on-site presence at Gibney Center, including 890 Broadway and 280 Broadway, in lower Manhattan. Further, all individuals must be fully vaccinated to enter Gibney Center, as detailed in Gibney Vaccination Policy.

This policy requires that all individuals entering Gibney Center, including employees, must: (1) be fully vaccinated (i.e., two weeks following receiving both doses of a two-dose vaccine or a single dose of a one-dose vaccine) with a COVID-19 vaccine authorized for emergency use by the FDA or WHO, and (2) provide Gibney with such proof of vaccination (acceptable forms of proof are identified in the Key to NYC guidelines) in order for Gibney to execute an employment contract.

RESPONSIBILITIES:

GENERAL ADMINISTRATION
• Participates in meetings with presented artists and artists under consideration
• Drafts and edits correspondence, contractual agreements and documents for season
artists, as overseen by the Producing Consultant
• Manages all payment requests for artist commissions, engagement honorariums, and box office cuts from Center engagements and POP rental events
• Assists the Producing Consultant with creating and maintaining organizational documents and tracking
• Maintains department programming calendar
• Supports in reconciling program and departmental budgets 
• Pursues special projects to develop events and fosters collaborative relationships in the dance field and beyond
• Maintains highest level of communicational integrity across all aspects of program activity with artists and Gibney community

LOW TECH ENGAGEMENTS AND RESIDENCIES
• Provides operational support to the Associate Producer with all aspects of each residency program, including artist communication, studio reservations, budget reconciliation, planning, documentation, informal showing events, fully produced engagements, and general administrative support
• Coordinates engagement needs with Associate Producer and production team
• For select engagements, act as on-site coordinator working with the Associate
Producer and production team to set room, greet participants, etc.
• Manage additional assistants at engagements as needed

DIGITAL ENGAGEMENTS
• Request and collect digital materials from engagement participants
• Work with event leads to plan each engagement
• Support event lead in running the engagement
• Communicate event schedule with participants
• Create run of show for each engagement
• Run webinar training sessions for each digital engagement with artists, panelists,
hosts, curators, etc. as needed
• Schedule digital engagements on shared calendar


OTHER
Gibney is a growing organization and employees are often called upon to perform other duties that are essential to accomplish organizational goals and meet important deadlines. This kind of work should only be disseminated by the direct supervisor of that staff member and include relocating their original work for that time frame.

QUALIFICATIONS

The model candidate will possess the following experience and qualifications:
• Knowledge of, and interest in, contemporary and experimental dance and performance
• 1-2 years of experience working in arts administration
• Excellent verbal and written communication and interpersonal skills
• Some administration and project coordination experience
• Excellent computer literacy, and experience with Google Drive and Microsoft suite required
• Basic knowledge of the Zoom platform
• Ability to prioritize and meet deadlines
• Ability to problem-solve and comfortable with regular public speaking
• Attention to detail, proofreading skills, and immaculate presentation of work
• Ability to work flexibly and cooperatively as part of a team and Gibney as a whole
• Ability to work independently as well as part of a team
• Availability to work flexible hours including evenings and weekends as appropriate
